Biogen Idec reengineers its training and sales support

Providing a growing sales force with all of its training and sales support is a tall order for a small staff. Ambit Press helped Biogen Idec analyze its current system and design a better one. Together they created a solution that properly leverages technology and frees people from the mundane and increases budgeting accuracy.

Challenge:
Biogen Idec is the biotechnology company dedicated to pursuing the creativity of science. The company's products and development programs address a variety of medical needs in the areas of oncology, neurology, dermatology and rheumatology. Sales support for new products and the training of new salespeople rests entirely with the small staff of Biogen Idec's Training Logistics department.

With Biogen Idec's sales offices spread across the country, Training Logistics was finding it increasingly difficult to offer the quality of support that the company's sales force needed. Too much of their time was spent answering calls and e-mail requests from offices far and wide. They had an in-house copy service, yet far too many "person hours" were still being spent on photocopying, collating, binding, packaging, storing, shipping and tracking packages.

Despite frequent late nights and working lunches, they simply couldn't keep up with the growing backlog of requests, in addition to their other job responsibilities. On top of that, as the requests escalated, so did costs. They realized that what they needed was not more hours in a day-but a better way to manage the existing hours.

Solution:
Ambit Press was tapped to review Training Logistics' process to see what could be done to improve it. After careful consideration of the team's goals and needs, Ambit came up with a multilayered solution, beginning with an online ordering system. Biogen Idec training tools are now listed on a securely hosted Ambit Web portal that allows the Training Logistics team, as well as those requesting materials, to see exactly what is being ordered.

In addition to assuring 100 percent ordering accuracy, this new feature has saved a tremendous amount of time that had previously been spent on telephone and e-mail communication. Once an order is placed, the Ambit team prints, produces, packages and ships it out, relieving the Biogen Idec team of this time-consuming responsibility. The print-on-demand ordering system alone solved many of the troubles Training Logistics had faced.

But Ambit wasn't done just yet. Biogen Idec realized that many of these tools would be more user-friendly in CD format, rather than the hard copies previously used. After cleaning up and scanning the originals, Ambit set up an easily accessible electronic library. They also recognized that it made sense to print and inventory those products that did not call for frequent changes and were in constant demand. Ambit stores, kits and ships these products for time and space-strapped Biogen Idec.

Results:
Thanks to the technology and ingenuity of Ambit Press, Biogen Idec's Training Logistics department has become a much more efficient and effective team. The streamlined, print-on-demand ordering system has freed up their time, allowing them to make necessary updates and improvements to their training materials.

The Biogen Idec accounting department benefits as well; not only does it save on hard printing costs, the system increases accounting accuracy and streamlines budget approvals. But what impressed Biogen Idec the most was Ambit's ability to thoroughly grasp the business task at hand, to think creatively, and to find smart, simple ways to make improvements-improvements that other printers either don't have the expertise to recommend, or the technology to back up.
